Set an Automatic Reply (Vacation / Out of Office)

You can configure an automatic reply (also called an autoresponder or vacation message) in Roundcube.

This is useful when you are:

  • On holiday

  • Temporarily unavailable

  • Out of office for business travel


Enable an Autoresponder

  1. Log in at:
    https://wwhost.nl/webmail

  2. Click Settings

  3. Select Filters

  4. Click Create

  5. Configure the rule as follows:

Step 1 – Rule Name

Example:

 
Out of Office
 

Step 2 – Condition

Set condition to:

 
All messages
 

Step 3 – Action

Select:

 
Reply with message
 

Configure Your Vacation Message

Enter your message, for example:

 
Thank you for your message.

I am currently out of the office and will return on [date].

During this period, I may have limited access to email.
For urgent matters, please contact [alternative contact].

Kind regards,
[Your name]
 

Important Settings

  • Ensure the rule is enabled

  • Save the rule

  • Some systems allow you to limit responses to:

    • Once per sender per day

    • Internal senders only

If these options are available, we recommend:

  • Respond once per sender per day (to avoid spam loops)


Disable the Autoresponder

When you return:

  1. Go to Settings

  2. Click Filters

  3. Disable or delete the vacation rule
